What this notice covers
This notice explains how we use information collected through this website, general and placement enquiries, and initial recruitment enquiries. It does not replace the more detailed privacy information relating to children’s care records or the full staff recruitment and employment process. Contact us if you need information about those activities.
Information we collect
- General enquiries: your name, organisation, email address, optional phone number, enquiry type and message.
- Placement enquiries: the referrer’s contact details and local authority, the child’s age and gender, the placement timescale and an overview of the support required. A local authority or professional may provide information about a child on their behalf.
- Recruitment enquiries: your name, contact details, the role you are interested in, information about your experience and any CV you choose to provide.
- Website use: technical information needed to deliver and protect the website, which may include your IP address, browser information, access times and security logs.
Please provide only information relevant to your enquiry. Do not include a child’s name or other identifying details in an initial placement enquiry. We can agree how to receive full referral documents separately. Please avoid including unnecessary health information or information about criminal convictions in a careers enquiry or CV.
Fields marked with an asterisk are required so we can assess and respond to your enquiry. If you do not provide them, the form cannot be submitted. You can contact us directly instead.
Why we use information and our lawful bases
- Responding to general enquiries: our legitimate interests in communicating with people about our homes and services.
- Considering placement enquiries: our legitimate interests in assessing whether we can offer appropriate care and communicating with the placing authority or relevant professionals.
- Considering recruitment enquiries: taking steps at your request before entering an employment contract, where applicable, and our legitimate interests in responding to expressions of interest and assessing suitability for a role.
- Operating and protecting this website: our legitimate interests in providing a reliable website and preventing misuse.
- Meeting legal requirements: compliance with legal obligations where we are required to keep or disclose information.
Where we rely on legitimate interests, we consider the effect on individuals and their rights. Where we ask for consent for a separate purpose, we will explain that purpose and how to withdraw consent. Submitting an enquiry does not sign you up to marketing.
Sensitive information and children’s information
Even a brief placement enquiry may contain information about a child’s health or disability. Such information receives additional protection under data protection law. Where necessary to assess, provide or manage social care, we rely on the applicable health or social care condition, subject to the confidentiality requirements and safeguards that apply. Safeguarding information may need to be used or shared to meet legal obligations or protect a child.
Only provide information about another person where you are authorised to do so. We limit the information requested at the initial enquiry stage. We will explain any additional uses and requirements when a referral or recruitment enquiry progresses.
Who we share information with
Information is available to staff and managers who need it to handle the enquiry. We may also share relevant information with:
- Webflow, which hosts this website and processes website form submissions and uploaded files on our behalf;
- providers of email, IT support and document storage used to manage correspondence;
- the placing authority and relevant professionals where needed to consider or progress a placement;
- professional advisers, regulators or public authorities where necessary to meet legal obligations, safeguard children or deal with legal claims.
We do not sell your personal information.
Where information is stored
Webflow is based in the United States and stores website and form information there. Its service providers may also process information in other countries. Webflow’s data processing terms provide international transfer safeguards, including applicable standard contractual protections and the UK extension to the EU–US Data Privacy Framework.
Contact us if you would like information about the safeguards relevant to your information. You can read more in Webflow’s privacy information.
How long we keep information
We keep information for as long as it is needed for the purpose for which it was collected. We decide this by considering whether the enquiry remains active, any follow-up that is reasonably needed, and applicable legal, safeguarding, regulatory or legal-claim requirements.
If an enquiry leads to a placement or employment, relevant information becomes part of the appropriate care or employment record and is retained under the requirements for those records. Initial enquiries that do not progress should not be retained indefinitely. Contact us for details of the retention period applicable to your information.
Cookies and website technologies
Cookies and similar technologies may be needed to operate website features and protect forms from misuse. Where optional cookies or technologies require consent, they should only be used after you have made your choice. You can also manage cookies through your browser settings; blocking essential technologies may affect how the website works.
Your rights
Depending on the circumstances, you can ask to access your information, correct inaccuracies, have information deleted, restrict its use or receive it in a portable format. Where processing relies on consent, you can withdraw that consent without affecting the lawfulness of earlier processing.
You have the right to object to processing based on our legitimate interests. Contact us using the details above and explain your circumstances.
These rights are subject to legal conditions and exemptions. For example, we may need to retain information to meet safeguarding or legal obligations. We may ask for information to verify your identity before responding. We will normally respond within one month, or explain any permitted extension.
Questions and complaints
Please contact us first if you have concerns about how we use personal information. You can also complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint.
